Sport Burnaby Grant

Background

Planning a sport event in Burnaby? Our Sport Burnaby Grant Program offers funding to organizers who bring their tournaments and competitions to local venues and partner with Burnaby accommodations and services. It’s practical support designed to back events that choose to compete, stay, and invest right here in the Sport City.

Criteria

  • The event must use sport facilities and hotel accommodations within Burnaby
  • Grants are intended to support events, not to be essential for the event to operate
  • Submission of an application does not guarantee funding
  • Grant allocations depend on available funds within the annual Sport Burnaby budget
  • Events must be confirmed or in planning stages; bid applications are not eligible
  • Retroactive or incomplete applications are not eligible
  • Recreational activities, jamborees, playoffs and league games are not eligible
  • Events must generate a minimum of 50 room nights to qualify for funding

Process

Applications should be submitted a minimum of three months prior to event dates

Applications are accepted during the intake periods listed in the guidelines. Applications are reviewed quarterly by Sport Burnaby

Applicants will be notified of their application status and funding amount by Sport Burnaby

If approved for funding, applicants are required to complete the Post Event Report within 45 days of the event

Failure to complete the Post Event Report may result in ineligibility of previously approved grant funding

Upon completion of the Post Event Report, and contingent on verified actualized room nights with host hotel(s), funding will be provided by Sport Burnaby

  • Grant funding must be used for expenses directly related to the approved event, including but not limited to facility rental, accommodations, marketing, transportation, communications, tenting, activations, and officials.
  • Sport Burnaby’s verification and determination of actualized room nights shall be final. Reporting from host hotels and/or dormitories will be used to verify room nights.
  • If an event is unable to proceed due to unforeseen circumstances, the applicant shall use best efforts to reschedule the event within the same calendar year to remain eligible for approved funding.
  • If an event does not meet the minimum room nights for its approved category, Sport Burnaby reserves the right to modify the grant funding amount based on the actualized room nights achieved and verified.
  • A new application may be required for events rescheduled outside the same calendar year, and previously approved funding amounts are not guaranteed.
  • If an event cannot commence within the same calendar year, is postponed or cancelled due to circumstances beyond the control of the applicant or organization, and cannot be rescheduled within the same year, the applicant will no longer be eligible to receive previously approved grant funding.
  • If an event is unable to commence within the same calendar year period or is delayed/postponed due to circumstances outside the control of the applicant/organization or cancelled with no immediate prospect of rescheduling within the same calendar year, the applicant is no longer eligible to receive previous approved grant funding.

Applications will be evaluated based on several factors to determine funding amounts, including but not limited to:

  • Total number of room nights anticipated and actualized.
  • Level of competition (e.g., Provincial, National, or International).
  • Economic impact and tourism benefits to Burnaby.
  • Ability to leave a legacy or lasting impact within the community.
  • Time of year the event is hosted.
  • Opportunity for the continuation of the event in Burnaby or future hosting opportunities.
  • Alignment with City of Burnaby initiatives, such as promoting diversity, female sport, parasport, Indigenous sport, and sustainability initiatives.
  • Recognize Sport Burnaby as an event sponsor in all appropriate event marketing and communications. The Sport Burnaby logo and brand guidelines are available here. Please ensure all usage guidelines are followed.
  • Be responsible for all operations, management, costs, and expenses related to the event, including contracting facilities and fulfilling all contractual obligations with host hotel(s) and/or university dorms.
  • Promote the Burnaby host hotel(s)and/or dorms to event participants and spectators, ensuring all deadlines for room blocks are communicated clearly.
  • Track actualized hotel and/or dorm room nights, as this information will be required for submission in the Post Event Report. This can be requested from the chosen hotel(s) and/or university dorms post-event.
  • Completion of Post Event Report within 45 days of the event.
